Our Office Services Team are at the heart of ensuring our building and facilities services for all UK buildings are managed in a robust and appropriate manner. They maintain and deliver appropriate strategies and action plans in respect of health & safety, environmental management, business continuity, and vendor management. Due to our continued growth and expansion, we are pleased to be recruiting for an Office Services Co-Worker to join our team full time basis.
Reporting to the Office Services Manager, you will be part of a team that delivers a wide range of building and office support services. You will be responsible for ordering and maintaining all office supplies, including proactive replenishment of departmental stationery points, and ordering and maintaining Triodos stock material in UK offices and off-site resources for business continuity strategy. Responsibilities
- Receive and action notification of building faults; Liaising with contractors and suppliers to arrange regular service visits and ensure work completed to agreed service levels and conducting periodic operational reviews
- Support office moves including the removal and storage of furniture
- Assist with the receiving and distribution of goods/deliveries and store items. Opening and sorting inbound post, collecting outbound post for external distribution. Managing despatch and return of items via couriers
- Support security policies including issue and cancellation of access control cards and key management
- Responsible for setting up meeting rooms and ensuring they are stocked with materials. Arrange the provision of lunches and refreshments for external events & meetings outside of the scope of the marketing events co-ordinator. Liaise with marketing events co-ordinator to support marketing-led events at Deanery road office
- Manage supplier relationships and contracts as delegated by the Office Services Manager. Including performance and issue reviews
- Support the Office Services Manager in completing statutory Health & Safety testing and the provision of Health & Safety services
- Provide reception services 2 days a week and emergency and lunchtime backup to the reception function in addition
- Responsible for inbound post and franking and preparation of outbound post
- Support the Office Services department in raising the awareness of sustainable working practices (e.g., energy consumption, recycling)
- Assist with the co-ordination of the group environmental management system in the UK and additional local reporting measures as needed
- Maintain the local Bristol Office travel plan and bookings
- Support to external events including the ordering of Triodos stock and managing the despatch and return of display stands and Triodos stock materials including checking condition upon return
- Maintaining documentation and management information in support of the role, for example: building services directory, departmental working instructions, asset registers and record keeping for scheduled & unscheduled service visits
- Support to ad hoc project activities as requested
- Comply with all regulatory obligations and internal governance to help ensure ethical behaviour which delivers fair outcomes for TBUK customers
- Support to other Office Services management and governance functions as requested (e.g., environmental management, vehicle leasing, buildings insurance policies)
To be successful in this role, you will have knowledge and experience of buildings systems and installations and a genuine interest in positive social and environmental change, a friendly persona and flexible ‘can do’ attitude combined with an affinity to the Triodos values. Other skills and experience include:
- Experience of delivering building and/or office/facilities support services.
- Hands-on experience of reactive repairs
- Good interpersonal skills.
- A strong customer service focus.
- An ability to work confidently and effectively with 3rd party suppliers to ensure best possible service provision.
- Worked in an autonomous or semi-autonomous role and able to manage time effectively
- Good organisational and administrative skills.
- An adaptable and flexible approach.
- A good working knowledge of MS Word and MS Excel, as well as an ability to quickly learn how to use other IT support systems as needed.
- Well-presented appearance.
